Keen Mind

Privacy Policy

Last updated: 12 September 2026

Keen Mind is made by Nieves Studio ("we", "us"). This policy explains what the app collects, who else processes it, and how to get rid of it. It covers the Keen Mind mobile app and keenmind.io.

The short version

Keen Mind records your tabletop game sessions so it can write recaps. That means we hold audio of people talking at your table, the transcripts made from it, and the campaign notes generated from those. We don't sell any of it, and we don't use it to train AI models. You can delete your account and its contents from inside the app at any time.

Recording other people

The person running the game starts the recording, but everyone at the table is on it. Tell your players you're recording and get their agreement before you start. In some places recording a conversation without everyone's consent is against the law. You are responsible for having that conversation with your table; we can't have it for you.

Don't record anyone who has asked you not to, and don't record children without a parent's permission.

What we collect

WhatWhy
Your email address and display nameTo create and sign you into your account.
Session audio recordingsTo transcribe the session and build the recap. Kept so a failed recap can be retried without re-recording.
Transcripts and generated content — recaps, NPCs, locations, quotes, Bard's TaleThey are the product. Shown to you and to players you invite to that campaign.
Campaign details you type in, and images you uploadTo show your campaigns, characters and players.
Crash reportsTo find and fix crashes. Stripped before they leave your device: no transcript or recap content, no audio, no file links, no request bodies, no screenshots. A crash is tied to an account identifier, never to your email.

We do not collect your contacts, your location, or advertising identifiers, and Keen Mind contains no advertising or third-party tracking.

Who else processes it

These companies process data on our behalf so the app can work:

ServiceWhat it handles
SupabaseAccounts, sign-in, and the database holding campaigns, sessions and generated content.
Cloudflare R2Storage of session audio and uploaded images.
DeepgramTranscription and working out who spoke.
Groq and OpenAITranscription, and generating recaps, NPC and location entries, and the Bard's Tale.
SentryCrash reports, scrubbed as described above.

These providers process content on our instructions to deliver the service. Their own terms govern what they may do with it; to our knowledge none of them use your content to train their models under the arrangements we use. We don't sell your data or share it with advertisers.

Who can see your campaign

Sessions and recaps are visible to you and to the players you invite to that campaign. Players see the player view of a campaign, which excludes GM-only material. Nothing is public, and nothing is shared with other Keen Mind users outside your campaigns.

How long we keep it

Your account and its contents are kept until you delete them. Session audio is kept so recaps can be regenerated if processing fails. Delete a session and its audio and generated content go with it. Delete your account and everything above is removed from our systems; backups age out afterwards. Crash reports are kept for a limited retention window by Sentry.

Your choices

Where data is processed

Our providers operate internationally, so your content may be processed outside the country you live in, including in the United States.

Children

Keen Mind is not intended for children under 13, and we don't knowingly create accounts for them. If a child's voice appears in a recording because they play at your table, the responsibility for consent is yours, as described above. Write to us to have such a recording removed.

Security

Data is encrypted in transit. Accounts are separated so one user cannot read another's campaigns. No system is perfectly secure, and Keen Mind is beta software — don't record anything you couldn't bear to have exposed.

Changes

We'll update this page when the app changes, and the date at the top will change with it. Significant changes will be announced in the app.
